People & HR
Maintain employee profiles and timelines
Keep career history alongside the employee’s current details.
Before you begin
Open the employee from the People directory. You need employee-profile management access to add career events; employees can read their own timeline.
Maintain employee profiles and timelines
Open the People directory and select an employee.
Review the profile and open Timeline to see career events, newest first.
With employee-profile management access, select Add event and choose Promotion, Demotion, Transfer, Role change, or another event type.
Enter the effective date/time, title, previous and new roles, and optional notes; save the event.
Update the employee’s current profile separately when their present role or employment details need changing.
Key concepts & fields
| Concept | What to know |
|---|---|
| Event type | Choose Promotion, Demotion, Transfer, Role change, Joined, Confirmation, Exit, or Other to describe the change. |
| Title | A required, concise description, such as ‘Promoted to Senior Analyst’. |
| Effective date and time | When the event happened. Enter a valid date and time that is not in the future. |
| Previous / new role | Record the role before and after the change. New role is required for a promotion, demotion, or role change. |
| Notes | Context visible to the employee. Keep restricted disciplinary details in the separate disciplinary workflow. |
Troubleshooting
The event will not save
Check the title, effective date and time, and new role. Future dates are not accepted.
The employee still has the old job title
A manual timeline event records history. Update the current employee profile separately; do not assume the timeline changes it.
Older changes are absent
Automatic history captures saved employment changes going forward. Add a manual event for historical changes you need to record.
